PATIENT RESPONSIBILITY, FINANCIAL, & CANCELLATION POLICY

To ensure the highest quality of service, we have established the following patient policies. Please read this document carefully, as it outlines our financial practices and your responsibilities. By engaging in any transaction with Sanctuary Haus (the Clinic), you agree to abide by and be bound by the policies herein.

 

Payment Responsibility

All IV therapy and injection services provided by the Clinic are elective and are not considered medically necessary. As such, payment is due in full at the time of service. The Clinic does not bill insurance, Medicare, or Medicaid for any services provided.

 

Accepted Payment Methods

The Clinic accepts the following forms of payment:

  • Cash

  • Credit and debit cards (Visa, MasterCard, American Express, Discover)

  • Health Savings Account (HSA) or Flexible Spending Account (FSA) cards (if applicable)

  • Digital payment methods (e.g., Apple Pay, Google Pay)

  • Check

 

You are responsible for ensuring your payment method is valid and updated. The Clinic reserves the right to charge a fee for declined or failed payments.

 

Advance Payments and Deposits

For certain treatments, including customized IV therapy and group sessions, a non-refundable deposit may be required at the time of booking. This deposit will be applied to the total cost of your treatment. For services booked and fully paid online, the full payment is taken upfront, minimizing additional transaction fees and ensuring your appointment is fully secured.

 

Please note that our cancellation and no-show policies, as outlined in Section 5, apply to all appointments equally. If you cancel within the allowed notice period, any payments or deposits can be applied to a future appointment. Late cancellations or no-shows will result in the forfeiture of the deposit or a portion of the full payment, as applicable.

 

Refund Policy

All payments made for services rendered are non-refundable. If you are unable to complete a treatment session due to medical or personal reasons, the Clinic may, at its sole discretion, offer a partial credit toward a future service. Products, including vitamin injections, oral supplements, and retail items, are final sale and may not be returned or exchanged.

 

Cancellations, No-Show Policy, & Late Arrivals

To ensure availability for all patients, the Clinic enforces the following cancellation and no-show policies:

  • Cancellations made with at least 24 hours notice: No penalty; deposit (if applicable) will be applied to a future appointment.

  • Cancellations made with less than 24 hours notice: The Clinic reserves the right to charge a cancellation fee of up to 50% of the scheduled service.

  • No-shows: Failure to attend a scheduled appointment without prior notice will result in a full charge for the missed service, and any deposits made will be forfeited.

  • Late Arrivals: If you are more than 15 minutes late, your appointment may be required to be rescheduled at the Clinic’s discretion. If rescheduling is necessary, a late cancellation fee may apply per the terms of this section.

 

Packages & Membership Plans

The Clinic may offer prepaid packages or membership plans for recurring services. The following terms apply:

  • Package purchases are non-transferrable and non-refundable and must be used within the specified expiration period.

  • Membership fees are billed on a recurring basis as outlined in the membership agreement.

  • Unused services in a package or membership plan do not roll over beyond the expiration date unless otherwise stated in the specific agreement.

 

Discounts and Promotions

The Clinic may offer discounts, promotional pricing, or seasonal specials. The following terms apply:​

  • Discounts and promotions are non-transferable cannot be combined unless explicitly stated.

  • All promotional offers are subject to expiration dates and availability.

  • Patients must present any applicable discount codes or promotional offers at the time of payment; retroactive application is not permitted.

  • The Clinic reserves the right to modify or discontinue promotions at any time without prior notice.

 

Credit Card on File Policy

For your convenience and to streamline the payment process, we require a valid credit card on file. By providing your credit card information, you authorize us to charge your card for any outstanding payments due, including, but not limited to booking fees, recurring membership fees, outstanding balances, cancellation fees, and no-show fees as outlined in our policies. Upon request, the Clinic may require you to fill out and sign a credit card authorization form. 

 

Chargebacks and Disputes

Once you have purchased a product from us or a service has been fully performed and your payment has been made, you agree not to initiate a chargeback or a dispute with your credit card company or other payment processor for any reason related to the completed transaction. 

 

Patients who initiate a chargeback or payment dispute with their bank or credit card issuer without valid cause may be subject to legal action and will be responsible for all associated fees, including but not limited to administrative costs, legal fees, and collection costs.

 

Privacy

We collect personal information for client profile services only. We will never share or sell your information to any third party.

 

Changes to Policy

We reserve the right to amend our policies at any time. Notice of changes will be provided at the Clinic and on our website.
